Exporting your data

Self-service export of everything in your agency — a zip of CSVs, no request, and it still works if your subscription lapses.

You can export everything, any time, without asking us. Settings → Export your data builds a zip containing one CSV per record type, and hands you the download inside the app. There is no support ticket, no form, and no waiting on a human.

What you get #

The archive holds 49 CSV files — one per record type in your agency — plus a manifest.json that lists what was exported, when, how many rows each file has, and which columns were deliberately left out.

Everything your agency owns is in there: contacts and their per-platform details, notes, tasks and monthly targets, applications and application forms, stats and platform connections, monthly statements with their payment and commission figures, compensation plans and tiers, conversations and messages, campaigns and their runs, templates, events and RSVPs, custom fields, documents, points wallets and every ledger entry, missions, rewards, redemptions, levels, inactivity rules, onboarding sequences and their steps, sub-agencies, staff roles and invitations, your team list, and your agency record itself.

One entry is worth pointing at: super_admin_access_logs.csv — every time someone at Live Agent Pro looked at your account. That is your record as much as ours, so it is exported to you rather than kept on our side. See Getting help for how support access works.

Deleted records are included. Soft-deleted rows come with their deleted_at value rather than being quietly withheld, so a row you removed is still visible in your own copy.

What is not in it #

Six things are held back on purpose, and the page says so on screen:

Credentials are never exported. Password hashes, API keys, WhatsApp and TikTok tokens, and invitation tokens are dropped, and manifest.json names every column that was removed — so you can see exactly what is missing rather than guess.

Running one #

Open Export your data under Settings and press Export everything. The archive is built in the background, so a large agency takes a few minutes; the page refreshes itself, and you get a notification in the bell with a Download link when it is ready. A second button, Contacts CSV only, gives you the one-file contacts export immediately if that is all you need.

Three limits keep one agency from monopolising the queue, and keep a stolen login from quietly copying your hosts' details over and over:

  • One export at a time. Ask for another while one is building and you are told to wait for it.
  • Three exports per rolling 24 hours. Past that, download the most recent one or come back tomorrow.
  • Three contacts CSVs per person per day. Past that the download is refused until the limit resets. This one counts per administrator, not per agency, so a team of three has three allowances.

How long the download lasts #

A finished archive stays downloadable for 14 days, then the file is deleted from our servers — it is a complete copy of your hosts' personal data, so it does not sit around indefinitely. The record of the export stays on the page marked Expired, and you can build a fresh archive whenever you like.

It keeps working if your subscription lapses #

This page sits deliberately outside the billing gate. A lapsed agency that is otherwise routed to the Reactivate screen can still sign in, run a full export, and download it — exporting your data never requires an active plan, and never requires paying to reactivate first. It also sits outside the legal re-acceptance gate, so a pending document version can't hold your data hostage either.

That is the point: leaving should not cost you your records. See Billing for what else changes when a subscription lapses, and note that after cancellation you have roughly 30 days before the account and its contents are permanently deleted — export before then.

Who can run it #

Account admins only. The check is enforced on the page, on the export action, and again on the download link, so a staff member cannot reach an archive by URL. A full export contains payout identifiers, message history and personal data for every host on your roster, which is not something a scoped role should be able to walk away with.

  • Contacts — the per-table contacts CSV export, available from the contacts list itself.
  • Billing — what happens to your account without an active subscription.
  • Getting help — how to ask for the change history, or anything else the archive leaves out.
